Movement at NET Xperts LLC
April 1, 2014

We’ve had a lot of movement around the office in the last few months!
Karen Brennfleck has transferred to the Business Technology Engineer department so you may be talking to her in a different capacity or seeing her at your office in the near future.

Since Karen has transferred away from the NET X Alert! Team, that allowed some changes the Managed Services department as well. Cory Smith has been promoted to a Managed Services Administrator in the Exa Level Support Group. With Cory’s position open, we were then able to bring Jeff Hoyt as a Jr. Managed Services Administrator in the Tera Level Support Group of the NET X Alert! Team.

We are confident that these moves in the office will greatly benefit each and every customer that works with these awesome people on our team!

In the spirit of cyber security month, I’m going to touch on a few things security-related. First, credit card pads – everyone uses them. When you go to the grocery store, restaurants, etc., many times you use a credit card pad to put your pin into when you run your debit card. You typically don’t think anything of it, right?

Well, next time you go to put your pin into a credit card pad, remember this: rest your hand on all of the buttons, instead of just pressing the number keys for your pin. Now, I’ll explain why you should do this. Obviously, technology is advancing. When you think back 10 years ago, you wouldn’t think about buying a thermal image camera for less than several thousand dollars. These days, they make a case for the Iphone that takes a thermal image.
This case sells for a couple hundred dollars in any apple store. As you may have already guessed, someone with this case on their Iphone can take a picture of the credit card pin pad after you have used it (you’ll never even know it happened) and obtain your pin via the thermal signature your fingers leave behind on the pad. The “hottest” signature will be the last numbers pressed, which makes it very easy to see, through a thermal image, in what order someone pressed the numbers. This is why I said you should rest your hand on the pad. You’ll emit a thermal signature to many of the buttons, making it impossible for a perpetrator to figure out in what order the keys were pressed. Having this become but a thought in your head when you put your pin into a credit card pad could save your credit card pin number from being stolen. Also, this really only works on plastic/rubber pin pads. So if you’re thinking, “what about when I go to the bank to deposit/withdraw money?” – well, that is a metal pin pad. The thermal image doesn’t stick around after you touch the buttons.

Now I’d like to touch on one of the biggest problems: passwords. Please, please remember to change your password – and often! Not once in a few years, not “well, I have several different passwords so I don’t need to change.” You should be changing your passwords several times a year. Make strong passwords; these include upper/lower case letters, numbers, and symbols. A good example would be M1fjd&!k33, however most people may not remember that. So perhaps, you make it a phrase you’re familiar with and substitute characters in 7h@tsA5p1cyMe@tbA11 (See what I did there? If you didn’t, the phrase was “thatsaspicymeatball”). Both are secure passwords, although one may be a little easier to remember.

A few other things to remember when creating passwords, you should never use your spouse’s name, birthdays, addresses, phone numbers, or anything familiar to you that is easily obtainable information. One last thing: don’t EVER write down your passwords. Doing so is just asking to be hacked. If you’re saying “it won’t ever happen to me”, well it can. Actually, chances are, you’ve been a victim via a company being hacked, but that’s why you should guard yourself in the digital world as best as you can and secure your passwords.

With the September 23, 2013 HIPAA deadline behind us it would be nice if we could all breathe a sigh of relief as we head into the end of year activities. However, one important aspect to keep in mind for the New Year is the new inclusion of what is known as the Omnibus rule.

What is Omnibus?

In an attempt to greatly enhance the security and privacy of patient data, the government is now holding liable not just the clinics and hospitals but also their managed service providers and other business associates.

Individual patient rights have been greatly expanded as well, allowing patients to request their records in electronic format and new limits with how their data can be accessed, tracked and used. When access to data needs to be quick and efficient it seems an almost impossible task to also make sure the data is properly protected from intrusion and disaster. With high profile computer hacking making the news and swaths of data loss plaguing even government agencies what can you do to protect your business as well as the privacy and integrity of your patient’s data?

Protecting your patient’s data!

At NET Xperts LLC we take the security, reliability and availability of your data seriously. Our center specializes in 24 by 7 monitoring of your systems and information. Our trained experts are able to identify issues before they invite disaster or theft. October 25, 2001 marked a historic date in the history of the PC world. It was the official release date for the Microsoft Windows XP Operating System. Since then, many changes have evolved from this operating system, but Microsoft Windows XP has always met the challenges and needs of both business and consumers, no matter what was thrown at it. Think about how long ago that was – almost 12 years ago! To this very day, many business and consumers trust Windows XP to assist them with running their Line-of-Business Applications and increase productivity in their organizations.

As with anything else, though, one door closes and another one opens. Recently, Microsoft has released that Windows XP has finally earned that vacation home on the Software Retirement island. Microsoft has officially stated that Microsoft Windows XP will no longer be supported as of April 8, 2014. This marks the end of a stable operating system that has grown up with us and our children for over 12 years.

Now, does this mean that on April 8, 2014 any computer running Windows XP just stops working? Absolutely not. This simply means that Microsoft will no longer release security patches or offer support assistance for Windows XP, which could potentially make them vulnerable to attacks. Along with the anticipation of this date, however, other software vendors may also drop their support for Windows XP sooner than April 8, 2014. This simply means that newer versions of software (line-of-business or otherwise) may not be supported or work with Windows XP.

At this point, the time has come to transition to newer operating systems, such as Microsoft Windows 7 or Microsoft Windows 8. You may be thinking, “Oh that’s no problem, I’ll just upgrade to new PCs when the time comes. That’ll work, right?” And for some of you, that may be true. There are, however, a few items that you should consider NOW rather than later to insure a smooth transition to the newer technologies from both a cost standpoint and a usability standpoint:

1. Will my applications run on newer operating systems such as Windows 7 or Windows 8?

As a general rule of thumb, you should ALWAYS check with the software vendor to make sure that your applications will run on newer operating systems. Here’s a helpful hint though: If you haven’t done any updates for your line-of-business or other applications in the last 2 years, you should definitely consider doing that prior to planning a major upgrade to a new operating system. Software packages to look at would include accounting packages, antivirus applications, backup solutions, CRM Packages, and any other line-of-business application.
2. Will my printers work with a new computer or new operating system?

There are a couple of things to look at here:

i. First of all, you should look at the connection that the printer uses to connect to your computer. If it is a “Parallel port” connection, it’s probably fairly old. In other words, if the computer end of the cable is long and flat and has screws on either side to screw into the computer, you should probably consider a new printer.
ii. Secondly, if you are using either a USB printer or a network printer, you should definitely check the manufacturer’s website to see if it’s compatible with a newer operating system such as Windows 7 or Windows 8. Depending on the age of the printer (even if it seems newer), the manufacturer may or may not have put the effort into making sure that the printer will continue to last to newer technologies.
3. Is there anything else that I need to consider to transition into making this jump?

As with anything else, there may be some special cases that you may need to consider, such as other older peripheral devices that may connect to your workstations or servers. The BEST thing to do is to contact your IT department or IT vendor, such as NET Xperts, for assistance. They are trained professionals that know what to look for in your environment to make sure that your transition to newer equipment and technology is a smooth one!

4 Common Questions You May Have About Replacing Your Windows XP Computer

·         “Can’t I just keep my computer and upgrade Windows?”

NET Xperts answer: There is no direct upgrade form Windows XP to the newer Windows 7 or 8.  You would need to first upgrade to Vista and then to Windows 7 or 8.  This can be costly and cause issues with older hardware that may be in your computer.

·         “What if I just buy a new copy of Windows 8 instead?”

Net Xperts answer: Most of these older PCs have old hardware that may not work properly.  In addition they will only have low amounts of system memory which is important for making sure modern software such as Anti-Viruses can run properly.

·         “My software may be old but it runs just fine!”

NET Xperts answer:  As time goes on you may run into more and more compatibility issues.  For example since Microsoft 2000, they’ve released 7 new versions!  It’s time to take advantage of all the new features and keep current with your colleagues and customers!

·         “My PC is running fine even though it’s almost 10 years old!”

NET Xperts answer: Windows XP certainly was a marvel.  However, as Geoffrey Chaucer said almost 700 years ago, ‘All good things must come to an end.’  The time of Windows XP is ending.

As you can see by the time you pay for the hardware and software upgrades, plus the service time to do the upgrades, continuing to run Windows XP can be quite expensive.  The following article from PC Pro reports on the costs associated with supporting an older PC:http://innovationatwork.pcpro.co.uk/innovation/71/upgrading-from-windows-xp-the-roi. Findings in the article state that a 5-year old PC may cost an average of $766 per year to maintain.

Along with the cost, you will also be hoping that you don’t have issues with the motherboard or other hardware does not go bad.  This is why NET Xperts LLC recommends purchasing a new computer.  You will have fewer issues, less overall expense, and your computer user will be more productive.

Be sure to check the software that you are using to make sure that it is compatible with the newer operating system you select. Windows 7 Professional or Windows 8.1 pro are the main two options for business computers that need to be networked. Many software vendors have sent notices to their customers that their product will not be supported or in compliance with desktops that are running windows XP after April 8, 2014.

If you use a parallel port to connect to a printer or other device you may have to replace that device or come up with another connection since the computers do not come with a parallel port anymore and there may not be current drives for the old device to run on the newer operating system.

There are a lot of new options to look at for a replacement computer. Just another desktop PC may not be the best option for the way you do business now.
